Are you an elite problem-solver who thrives in the eye of the storm? We are seeking a hyper-efficient, proactive Remote Executive Assistant to act as the indispensable right-hand to a serial entrepreneur. This role is not for the faint of heart. You will be stepping into a very high-pressure, lightning-fast environment, managing the daily chaos and strategic execution across a diverse portfolio of six growing companies: A Wheat Flour Mill A Trading and Distribution Company Coal Production and Distribution An Innovative B2B Software Application (Flour Sales) A Specialty Coffee Shop and Roastery A Mill Service & Consultation Center This is an intensely challenging, fast-paced role designed for someone who feels stifled in a traditional, slow-moving corporate job. You will be the central command hub of operations. You will help monitor daily progress, manage cross-company communications, track cash flow summaries, and bring order to a fast-paced, multi-industry environment. You won't just be checking off tasks; you will be building order out of chaos, untangling complex bottlenecks, and ensuring the CEO is freed from daily operational bottlenecks so he can focus on high-level growth. Key Responsibilities & Core Expectations: Executive Support & Time Management Complex Calendar & Time Management: Ability to manage scheduling across multiple business entities, handle "calendar tetris," and protect the founder's time ruthlessly. Inbox Triage & Management: Experience filtering high-volume emails, categorizing them by priority, and drafting professional responses on behalf of the executive. Professional Gatekeeping: High emotional intelligence to politely but firmly deflect unnecessary requests and guard focus time. Meeting Coordination & Follow-up: Drafting agendas, taking actionable minutes, and chasing down stakeholders to ensure tasks are completed. Operations & Strategic Management Daily Operations Command: Consolidate daily updates and progress reports from managers across all 6 companies into a single, digestible executive summary for the CEO. Masterful Context-Switching: Proven ability to pivot rapidly between different projects, industries, and company needs without dropping the ball. SOP Creation (Standard Operating Procedures): Ability to take messy, in-the-head processes and document them into clear, step-by-step manuals. Proactive Problem Solving: The ability to anticipate needs and bring solutions, not just problems. (e.g., "I saw your flight was delayed, so I already pushed your next three meetings back.") Cash Flow & Financial Tracking: Work alongside finance teams to consolidate and organize daily/weekly cash flow reports across the entities. Technology & Communication Mastery Impeccable Bilingual Communication: Flawless written and spoken English and Arabic, with a highly professional corporate tone. Project Management Mastery: Highly proficient in tools like ERP Next, Oodo, Microsoft Project, Asana, Trello Workspace Fluency: Expert level in Google Workspace (Docs, Sheets, Drive) and/or Microsoft 365. Communication Hubs: Comfortable managing communications in Slack, Microsoft Teams, and Zoom.
✅ Qualifications
Experience: 5+ years of experience as an Executive Assistant, Technical Office Manager, or Operations Manager, directly supporting C-level executives (experience supporting serial entrepreneurs or managing multiple entities is a massive plus). Financial Literacy: Strong understanding of basic business finance, capable of reviewing, organizing, and tracking cross-company cash flow reports. High Autonomy: A highly proactive self-starter who does not wait to be told what to do and thrives in a fast-paced, multi-industry environment. Environment: Must have a dedicated, quiet remote workspace with a highly reliable internet connection. Bonus (If applicable): Familiarity with basic CRM software (HubSpot, Salesforce) or accounting tools (QuickBooks, Xero) for expense tracking.
